Blackmon Family Reunion Registration & Payments

1. Acceptance of Terms
By registering for the Blackmon Family Reunion, purchasing merchandise, making a donation, or submitting any payment to the William (WM) Mack and Emma Blackmon Family Executive Committee ("Executive Committee," "we," "us," or "our"), you ("participant," "you," or "your") agree to be bound by these Terms and Conditions in their entirety. If you do not agree to these terms, please do not complete your registration or submit payment.
These Terms and Conditions apply to all transactions processed through the Blackmon Family Reunion registration portal, including but not limited to: reunion registration fees, family membership fees, merchandise purchases, and charitable donations.
2. Definitions
- "Reunion Event" means the Blackmon Family Reunion, including all scheduled activities, meals, programs, and gatherings associated with the event weekend.
- "Registration Fees" means any fees paid to register one or more family members for attendance at the Reunion Event, including general registration, children's registration, or any tiered registration packages.
- "Merchandise" means any physical items sold by the Executive Committee, including but not limited to t-shirts, goodie bags, gag gifts, cups, keychains, and other family-branded items.
- "Family Membership Fee" means the annual or recurring fee assessed to family members for membership in the Blackmon Family organization.
- "Donations" means voluntary financial contributions made to the Blackmon Family Cemetery Fund, Scholarship Fund, or any other designated fund managed by the Executive Committee.
- "Local Blackmon Family Committees" means the designated regional or local planning committees responsible for coordinating the Reunion Event.
3. Payments
3.1 Accepted Payment Methods
The Executive Committee accepts payments through the methods listed on the registration portal at the time of transaction. All payments must be made in U.S. dollars. The Executive Committee reserves the right to update accepted payment methods at any time.
3.2 Payment Authorization
By submitting a payment, you represent and warrant that: (a) you are authorized to use the payment method provided; (b) the payment information you provide is accurate and complete; and (c) you authorize the Executive Committee to charge the total amount due at the time of your transaction.
3.3 Payment Categories
Payments processed through the registration portal may include the following categories:
- Reunion registration fees (individual, family, or group)
- T-shirts and apparel
- Goodie bags
- Gag gifts and activity packages
- Family Membership fees
- Cemetery upkeep donations
- Scholarship fund donations
- Future store merchandise (t-shirts, cups, keychains, and other family items)
3.4 Confirmation
Upon successful payment, you will receive a confirmation. Please retain this confirmation for your records. If you do not receive a confirmation within 48 hours, please contact the Executive Committee (blackmonexecutivecommittee@gmail.com).
4. Refund Policy
4.1 Reunion Registration & Event Fees
The following refund schedule applies to all reunion registration and event-related fees (excluding Family Membership Fees, as outlined in Section 4.3):
- Full Refund: A full refund will be issued if cancellation notice is submitted to the Local Blackmon Family Committees at least 45 days prior to the Reunion Event.
- 25% Refund: A refund of 25% of paid fees will be issued if cancellation notice is submitted between 45 and 30 days prior to the Reunion Event.
- No Refund: No refund will be issued for cancellations submitted fewer than 30 days prior to the Reunion Event.
To initiate a cancellation and request a refund, participants must provide written notice to the Local Blackmon Family Committees. The date of written notice received by the Local Blackmon Family Committees will serve as the official cancellation date for refund eligibility purposes.
4.2 Merchandise
All merchandise sales (including t-shirts, goodie bags, gag gifts, cups, keychains, and other items) are final once an order has been confirmed and processed. Refunds or exchanges for merchandise may be considered on a case-by-case basis in the event of a manufacturing defect or fulfillment error. To report a merchandise issue, contact the Executive Committee within 14 days of receiving your item.
4.3 Family Membership Fees
Family Membership Fees are non-refundable under all circumstances. These fees support the ongoing operations and administration of the Blackmon Family organization and are not tied to attendance at any specific Reunion Event.
4.4 Donations
All donations made to the Blackmon Family Cemetery Fund, Scholarship Fund, or any other designated fund are voluntary and non-refundable. Donations are used to support the stated purpose of each fund and are not considered payment for goods or services.
4.5 Third-Party Services
The Executive Committee's refund policy applies only to fees and purchases made directly through the Blackmon Family registration portal. Refunds for hotel accommodations, car rentals, travel, excursions, or any other third-party services are governed solely by the policies of those respective service providers. The Executive Committee has no authority to issue refunds on behalf of third-party vendors and assumes no liability for third-party cancellation or refund decisions.
5. Event Changes & Cancellations
The Executive Committee reserves the right to modify event schedules, activities, venues, or other logistics as necessary. In the event of a full Reunion cancellation due to circumstances beyond the Executive Committee's reasonable control (including but not limited to natural disasters, public health emergencies, or venue loss), the Executive Committee will make reasonable efforts to issue refunds or credits. The Executive Committee shall not be liable for any travel, lodging, or other costs incurred by participants in connection with such cancellations.
6. Registration & Eligibility
Registration for the Blackmon Family Reunion is intended for members of the Blackmon family and their authorized guests. The Executive Committee reserves the right to refuse or cancel registration at its discretion. Participants are responsible for ensuring that all registration information submitted is accurate and complete. The Executive Committee is not responsible for missed communications or event materials resulting from inaccurate contact information.
7. Online Store (Future)
The Executive Committee intends to launch an online store for the sale of family-branded merchandise, including but not limited to t-shirts, cups, and keychains. When the store launches, additional terms specific to online purchases, shipping, returns, and exchanges will be provided at checkout. Until such time, all merchandise sales are governed by the terms outlined in Section 4.2 of this document.
8. Privacy & Data Use
Information collected during the registration process (including names, contact information, and payment details) is used solely for the purposes of administering the Reunion Event and Blackmon Family communications. The Executive Committee does not sell or share personal information with third parties except as required to process payments through authorized payment processors. Payment card information is processed by third-party payment processors and is not stored by the Executive Committee.
9. Conduct & Liability
All participants are expected to conduct themselves in a respectful and lawful manner throughout the Reunion Event. The Executive Committee reserves the right to remove any participant whose behavior is deemed disruptive, harmful, or inappropriate, without refund.
The Executive Committee, its officers, committee members, and volunteers are not liable for any personal injury, loss, theft, or damage to personal property that occurs during Reunion Event activities. Participation in all Reunion Event activities is voluntary and at each participant's own risk.
10. Intellectual Property
All Blackmon Family branding, logos, designs, and family-branded merchandise are the property of the William (WM) Mack and Emma Blackmon Family Executive Committee. Unauthorized reproduction, distribution, or use of any family branding or imagery is prohibited.
11. Amendments
The Executive Committee reserves the right to amend these Terms and Conditions at any time. Updated terms will be posted on the Blackmon website (https://wmackandemmablackmonfamily.com) and will be effective upon posting. Continued use of the registration portal or participation in Reunion activities following any update constitutes acceptance of the revised terms. Participants are encouraged to review these terms periodically.
12. Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of North Carolina, without regard to its conflict of law provisions. Any disputes arising under these terms shall be resolved through good-faith negotiation between the parties. If resolution cannot be reached informally, disputes shall be submitted to binding arbitration or mediation in Mecklenburg County, North Carolina.

We will reimburse You no later than 14 days from the day on which We receive your email. We will use the same means of payment as You used for the Order, and You will not incur any fees for such reimbursement.
Conditions for Returns
In order for the Goods to be eligible for a return, please make sure that:
- The Goods were purchased in the last 1 days
- The Goods are in the original packaging
The following Goods cannot be returned:
- The supply of Goods made to Your specifications or clearly personalized.
- The supply of Goods which according to their nature are not suitable to be returned, deteriorate rapidly or where the date of expiry is over.
- The supply of Goods which are not suitable for return due to health protection or hygiene reasons and were unsealed after delivery.
- The supply of Goods which are, after delivery, according to their nature, inseparably mixed with other items.
We reserve the right to refuse returns of any merchandise that does not meet the above return conditions in our sole discretion.
Only regular priced Goods may be refunded. Unfortunately, Goods on sale cannot be refunded. This exclusion may not apply to You if it is not permitted by applicable law.

We cannot be held responsible for Goods damaged or lost in return shipment. Therefore, We recommend an insured and trackable mail service. We are unable to issue a refund without actual receipt of the Goods or proof of received return delivery.
Gifts
If the Goods were marked as a gift when purchased and then shipped directly to you, You’ll receive a gift credit for the value of your return. Once the returned product is received, a gift certificate will be mailed to You.
If the Goods weren’t marked as a gift when purchased, or the gift giver had the Order shipped to themselves to give it to You later, We will send the refund to the gift giver.
